Folders

The DAM is organized by folders, please refer to the below in understanding what each folder contains and its purpose.

The page also includes a section at the end on how to override PDF properties, if necessary.

Documents

For uploads of images (except articles), PDFs or one-pagers (ie. fact sheets) specific to a page or section of the site. Everything added here should belong to one of the existing sub-folders.

If the file does not fit in any of the existing sub-folders:

  • The file may not belong in the “documents” folder, please ask a power user
  • The file may require that a new folder within “documents” be created; please contact a power user though this scenario should be uncommon

Reports

Only files that are considered reports should be uploaded to this folder (no images, videos, or other files). All files uploaded to the reports folder will be automatically made available to the public through the Reports and Disclosures page. Do not upload any sensitive documents into this folder.

Reports are generally produced on a frequency based basis (Monthly, Quarterly, Yearly, etc). One-pagers are generally considered to be documents unless it needs to be shown in the Reports & Disclosures section of the site.

Articles

This folder houses content fragments and images of all articles hosted on the website. Do not add anything other than content fragments and article images.

Note: Winners’ photos that are to be used as an article header must be in a 16:9 ratio (ie. 1920x1080); please keep this in mind when uploading

Global

This folder contains stock images, illustrations and icons that are pre-set and available for authors to browse and use on various pages. This folder is fixed and should not be edited or uploaded to without permission.

Folders:

  • videos: Contains videos hosted by the site
  • icons: Contains the favicons folder, which is required by the browser to exist and is fixed (no changes should be made to this)
  • images: Contains all images used by the site, separated by sub-folders

    Below is a breakdown of sub-folders within the images folder:

page assets

Contains assets that are fixed; the assets are specific to certain pages but contain files that will not need to be updated in the future

 

ie. A screenshot of the lotto app would be uploaded in “page assets”. However, a chart for Suspicious Transaction Reports is expected to change over time, so this is not considered a page asset and should be uploaded into “documents/AML” instead.

headers

Contains only header imagery and banners. This folder should not be modified unless header imagery is added or modified, this should be completed by a power user.

 

ie. Illustrations used in header components, error pages

illustrations

Contains illustrations that live in the body of a page.

 

ie. Illustrations that supplement specific content on a page, such as the phone and food bank image on Our Vision, Mission and Values.

documentation

Contains all screenshots and images used in documentation pages, including the Design System and Author Training Guide

 

ie. Images of style guide colours, step-by-step screenshots

logos

Contains all logos used on the site.

 

Please contact a super user to have logos added.

Contains stock photos which are organized in folders by image theme.

 

Filter through these folders to find appropriate approved stock imagery.

File Titles and Properties

Files uploaded into AEM are automatically given a Title and other properties based on the file’s metadata. However, sometimes this information can be incorrect and may need to be changed. It is highly recommended that these are fixed in the original source file and are re-uploaded for processing. If you have questions with this, please contact a Power User.

In the event that editing the source file cannot be completed, the instructions below will allow you to override some properties. Note that some properties cannot be overridden. 

1. Select the box to the left of the report you wish to change the property of

2. Select Properties at the top of the screen

3. Update the Title text field (most common) or other properties as needed and press Save & Close on the top right of the screen
