Understanding Titles

Titles are assigned by the creator and accurately describe the subject matter of the document. Expect this to be a publicly visible label read before opening; it should be clear and easily understood.

  • Titles for PDFs should be in title case (ie. BCLC Annual Report 2016)
  • Spaces are allowed (unlike File names)

Tips for naming reports: 

When assigning a Title to a report, the report title on the PDF cover (generally on the 1st or 2nd page in large letters) can usually be followed (ie. Response Plan to GPEB MNP Report)

Exceptions:

  • If there are many reports with the same name because they are released throughout the years, include the month or year
    ie. Mandate Letter can be changed to “Mandate Letter – 2016/2017
  • If using the title on the PDF cover would not make sense or not be descriptive enough, feel free to alter as necessary
    ie. Media Relations can be changed to “Media Relations Policy“ if we know it’s a policy document
  • Use your discretion to create a new title if the title in the report PDF does not make sense. Try to be consistent (check if there are other similar reports already named), concise, and descriptive

Keep titles of the same report type. For example, if annual reports are in a specific format, continue with the existing format when adding more annual reports.

Understanding Filenames

Filenames are created when saving the file. This is generally a more concise version of the title and in some cases can be the same as the title.

  • Filenames should not contain spaces or special characters (!@#$%^&*)
